Quick Check List for Presenting a Seminar at Current Technology & Science Events
Four Months Prior to Show
- Sign-up with Biotechnology Calendar, Inc. to present a seminar at the event. When you lead a
biotechnology seminar, you establish yourself as an expert. By sharing your expertise you build trust and a
reputation for not only understanding the needs of laboratories but also offering proven solutions
to the problems researchers face every day.
Three Months Prior to Show
- Sign-up to advertise, promote a new product or include a company profile in the Event Program.
Biotechnology Calendar, Inc. has options to work with any budget. If available, apply unused
2008 advertising credits to offset the cost of this exposure.
- Submit your advertising artwork or profile information for the Event Program to Biotechnology
Calendar, Inc.
Two Months Prior to Show
- Provide seminar information to Biotechnology Calendar, Inc., including speaker name, title,
audiovisual needs and time preference. The title you choose for your biotechnology seminar is crucial to
attracting the largest relevant audience to your session.
- Inform Biotechnology Calendar, Inc. about door prize items valued at over $100.00 that you plan
to have at the show. We will help promote these items in flyers, on posters and in
announcements at the show. This type of pre-show publicity lets prospects know you will be on
campus and generates interest in your company and the event.
Six Weeks Prior to Show
- Submit the names of sales representatives attending your seminar to Biotechnology Calendar, Inc..
This will expedite the registration process the morning of the show.
- Read the Biotechnology Calendar, Inc. Exhibitor Manual. It is full of valuable information to help ensure successful seminars at current science and technology events
- Make travel arrangements, including flight, rental car and hotel reservations. Booking early
saves you money.
One Month Prior to Show
- Identify promotions and/or giveaways you will use to attract visitors to your booth.
- Determine the literature and marketing materials you will need at the show.
- Create and post, mail or e-mail your own seminar flyers around the campus to supplement the
seminar announcements posted by Biotechnology Calendar, Inc.. This increases awareness
and attendance at events.
- Create a personalized invitation to send to your campus contacts inviting them and their
colleagues to the on-campus show. Just ask and Biotechnology Calendar, Inc. will send you an
event flyer customized for your company.
- Provide Biotechnology Calendar, Inc. with on-campus or research community contact names
and addresses and we will send postcard invitations to each person, inviting them to the event.
Two Weeks Prior to Show
- Ship exhibits and materials to specified drayage representative or to your hotel.
- Make sure your post-show marketing strategy is ready to be implemented after the show. Be
prepared to follow-up with all viable leads within one week of the show.
One Week Prior to Show
- Phone or e-mail your campus contacts and strong prospects urging them to attend the event
and stop by your booth. If necessary, offer free samples or other incentives to visit you at the
current science and technology event.
- Phone or e-mail your loyal customers and contacts and invite them to attend your seminar.
Provide an incentive if they bring a guest from a different laboratory.
- Review the campus map and directions to the facility included in the Exhibitor Manual. Note
where to unload your materials and any special parking instructions.
